Information we collect
The store interest form collects a store name, contact name, email address, expected monthly search volume, optional phone number, website or social URL, city, state, contact preference, non-binding pledge selection, partnership interests, optional notes, consent time, submission time, and internal verification status.
When a store uses the kiosk or desktop prototype, ScanStation may also save the locally imported card catalog, store inventory records, quantities, finishes, conditions, pricing settings, market price references, inventory movement history, cart contents, generated order details, customer names entered for order sheets, admin review status, and internal notes. Public demo visitors may use card search and filters, but real store inventory, cart, imports, order generation, settings, and admin data are restricted to authenticated store users.
How we use it
We use this information to review and verify store interest, respond to the representative, evaluate product demand, request product feedback, and discuss demos, pilot testing, sponsorship, future purchasing, or other selected partnership paths.
Locally saved kiosk and inventory information is used to run card search, show store availability to authenticated store users, manage inventory, apply pricing settings, maintain cart and order workflows, and support store administration.
Non-binding pledges and payment data
A pledge submission is an indication of interest only. It does not create a purchase obligation. ScanStation does not collect payment card, bank account, or other payment credentials through the pledge form.
Storage and retention
Submissions are stored in the local ScanStation SQLite database. We retain them while they are useful for store verification, product planning, partnership discussions, and related business records. Records that are no longer needed should be deleted or anonymized during periodic review.
Card catalog, inventory, settings, cart, order, sales, and administrative records are stored in local ScanStation SQLite databases for the store or deployment using the software. Browser-only demo state, if used, is stored locally in that browser and can be cleared by clearing site data. Imported catalog and inventory files should be treated as store-controlled local data.
Sharing
We do not sell pledge information. We may share it only with people working on ScanStation who need it for the purposes above, service providers acting on our instructions, or authorities when disclosure is legally required.
Store-owner accounts
Optional store-owner accounts store an email address, salted password hash, recovery-code digest, account creation time and session version. An essential sign-in cookie lets you submit and update your own interest form. We do not store your password or recovery code in readable form. Registration does not verify email ownership or store ownership; store applications are reviewed manually.
Password recovery uses the private code shown when you register, rather than an email link. No verification or password-reset email is sent. Existing anonymous submissions are not automatically linked to a newly registered account. Contact us below for account or submission deletion requests.
Cookies and analytics
Administrator, employee and store sign-in use essential authentication cookies. Employee accounts store a code, name, role, salted password hash and account-change records. Fulfillment records include order actions and the employee responsible. These records support access control and store operations.
The current pledge workflow uses essential security mechanisms, including an antiforgery token, but does not require advertising cookies. If analytics or additional cookies are introduced later, this policy should be updated before those tools are enabled.
The public kiosk demo may use browser-local storage for temporary demo preferences or demo-only saved state. This browser-local demo state is not real store inventory and does not unlock protected store workflows.
Access, correction, and deletion requests
To ask what information is associated with your submission, correct it, or request its deletion, email william.x.abbey@gmail.com. We may ask for enough information to verify that the request comes from the store representative.
Policy changes
This policy may be updated as ScanStation's features and data practices change. The effective date above identifies the current version.
